GL Sales Rules are mapped based on the Sale Type Category associated with the POS data. Rules for each Sale Type Category will apply to all Subcomponents within the Category. These Categories can also be viewed on the POS Sales Report


All Sale Type Categories associated with data from the POS must be mapped for the GL Sales to post and balance. If a Category is not included in the POS-provided Sales data, it does not need to be mapped.





Sales  


The 'Sales' Category includes all POS Sale Departments. 

  • Note: Since mapping for the 'Sales' Category is by Sale Department, all Menu Items within a POS Sale Department must be mapped to the same GL Code. If Menu Items need to be mapped separately, they will need to be placed in a different Sale Department within the POS.



Taxes


The 'Taxes' Category includes all Tax Types picked up from the POS. 


There are two Sale Type Categories for taxes: Inclusive (taxes included in the sale price of Menu Items) and Exclusive (taxes that are added on afterwards). 

  • Note: If both Sale Type Categories for taxes should be mapped to the same GL Code(s), the mapping can be copied after the first Sale Type Category for taxes is mapped.



Comps and Promos


Discounts are grouped into the Sale Type Categories of 'Comps' and 'Promos'. How the POS categorizes the discount will determine if Radar recognizes it as a Comp or a Promo. 

  • Note: If GL Sales is set to map 'Net Sales' instead of 'Gross Sales', these Sale Type Categories should be disabled. To disable these Sale Type Categories, please reach out to R365 Support.

Comps

The 'Comps' Sale Type Category includes each discount picked up from the POS as a Comp. 


Comps by Sale Department

Normally, the mapping for Comps does not look to the Sale Department of the Menu Item that the Comp was applied to. However, Comps can also be mapped by Sale Department through the 'Comps by Sale Department' Sale Type Category. This Sale Type Category is disabled by default. To enable 'Comps by Sale Department', please contact R365 Support.

  • Note: In order to use this Sale Type Category, the POS must indicate which Menu Item the Comp was applied to. If the POS does not provide this information, all Comps will be assigned to the placeholder 'System Balance', and mapping by Sale Department will not be possible. The 'Comp by Sale Department' breakout provided by the POS can be viewed on the POS Sales Report.

Promos


The 'Promos' Sale Type Category includes each discount picked up from the POS as a Promo. 



Tenders


The 'Tender' Sale Type Category includes all Tenders picked up from the POS. 

  • Note: Frequently, each Tender is mapped separately so that each Tender is listed on the GL Export separately. 
  • Note: The Gift Card Tender applies when a Gift Card is used to pay for a purchase. See the Gift Cards section below to learn about the mapping for Gift Cards Sold. 



Gift Cards


There are three GL Sales Types associated with Gift Cards:

Gift Cards Sold

The 'GCs Sold' Sale Type Category includes all Gift Card types that are sold through the POS

  • Note: 'GCs Sold' is the mapping for the sale of Gift Cards. See the Tender section above for Gift Cards redeemed. 



GCs Comped and GCs Promoed 


The Sale Type Categories of 'GCs Comped' and 'GCs Promoed' are the mapping for Comps and Promos applied to the sale of Gift Cards.  

  • Important Note: Radar cannot distinguish between Comps/Promos that 'should' be used for Gift Cards and ones that should not. All Comps/Promos will need to be mapped.

If Comps/Promos associated with Gift Cards would be mapped to the same GL Code as Comps/Promos associated with regular Menu Items, the mapping can be 'copied' after Comps and Promos are mapped.

 



Paid In and Paid Out


The 'Paid In and Outs' Sale Type Category includes all individual Paid In/Outs provided by the POS. Each PIPO item can be mapped separately. 

  • Note: If the POS allows for manual entry of PIPO names, new PIPO items will be created for each PIPO that has a new unique name. It is recommended to restrict PIPO names in the POS if possible, otherwise this mapping will need to be monitored frequently for new PIPO items.



Surcharge 


The 'Surcharge' Sale Type Category includes all Surcharge types provided by the POS

  • Note: 'Dummy' is a placeholder and does not need to be mapped.


Non-Sales Revenue 


The 'Non-Sales Revenue' Sale Type Category includes Non-Sales Revenue (NSR) types provided by the POS

  • Note: NSR typically includes all revenue collected that is not associated with a POS Sale Department, Surcharge, or Gratuity.

  • Note: 'Dummy' is a placeholder and does not need to be mapped.



Cash 



Cash Deposit 


The 'Cash Deposit' Sale Type Category only includes the 'Actual Deposit' from the POS or the Manual Data Entry module. This Sale Type Category can only be mapped as a single GL Code

Cash Over/Short  


The 'Cash Over/Short' Sale Type Category includes the Calculated Cash Over Short, as well as any System Balance created by Radar to balance the GL Sales Journal when GL Sales is posted. 

  • Note: A discrepancy in Cash O/S often indicates that there are checks out of balance in the POS data. 

Gratuities


The 'AutoGratuity' and 'Tips by Tender' Sale Type Categories are only enabled when CC tips and autogratuities are not subtracted during Cash O/S calculations because they are paid out on paychecks. These Sale Type Categories are disabled by default. To enable these Sale Type Categories, please contact R365 Support


Both the 'AutoGratuity' and 'Tips by Tender' Sale Type Categories are mapped by Tender


Refunds by Tender


The 'Refunds by Tender' Sale Type Category allows for mapping Refunds based on the Tender used for the Refund. This Sale Type Category is disabled by default. To enable 'Refunds by Tender', please contact R365 Support.


Mode Charge


The 'Mode Charge' Sale Type Category allows for mapping Mode Charges. This Sale Type Category is disabled by default. To enable the 'Mode Charge' Sale Type Category, please contact Note: R365 Support.



Guests and Checks


The 'Guests' and 'Checks' Sale Type Categories are used within Radar to provide Guest/Check averages on the Ops Statement. During Implementation, these Sale Type Categories are typically mapped to placeholder GL Codes that only exist within Radar. These Sale Type Categories are not included on GL Exports.
