The GL Sales Rule Detail page is where the configurations for a single GL Sales Rule are set. This page is used to create new Rules, as well as edit existing Rules.
GL Rule Detail Overview
GL Rule Parts
GL Rules consist of four main parts:
- Sale Type - The Sale Type Category for the Rule. These categories will impact which POS Sales categories are mapped to the selected GL Code.
- Rule Type - The way Sales data is handled by the Rule when posting to the General Ledger. For basic Rules, only 'Summation' is used. Learn more the other Advanced Rule Types here.
- GL Code(s) - The GL Code(s) that will be used when posting to the General Ledger
- Advanced Options - Any additional options for the Rule, based on the Sale Type selected.
Advanced Options: All, Choose, and Only
Each Advanced Option has a configuration to determine which Subcomponents the Rule will apply to.
Subcomponents can only belong to one Rule. If a Subcomponent is added to more than one Rule, errors will be created and GL Sales will not post.
All Subcomponents must belong to a Rule. Any Subcomponents not assigned to the Rule being viewed must be assigned to a different Rule. If Subcomponents are not included in the Rules for the Sale Type, errors will be created and GL Sales will not post.
- All - Applies the Rule to all Subcomponents of the selected Sale Type
- Important Note: If 'All' is used, no other Rules for the selected Sale Type can be created. Creating additional Rules will cause errors and GL Sales will not post.

- Choose - Applies the Rule to only the selected Subcomponents of the Sale Type
- Only - Applies the Rule to all Subcomponents except the selected Subcomponents
Creating Rules
Follow these steps to create a new GL Sales Rule:
- Click '+ New GL Sales Rule' on the Manage GL Sales Rules page
- Archive the existing Rules
- Note: If creating or editing multiple Rules in a single session, this dialogue will only appear once. Rules can be manually archived at any time.

- Enter a Rule Name (Optional)
- Select the Sale Type
After selecting the Sale Type, additional fields will display. - Click 'Show Advanced Options'

- Select the Subcomponents to apply the Rule to. (See All, Choose, and Only section above)
- Select the GL Code
- Important Note: If the GL Code is selected before clicking 'Show Advanced Options', the GL Code will revert to the first GL Code in the drop-down menu, and must be selected again.
- Note: The GL Code drop-down menu lists GL Codes in the order that they were added to the GL Code List. Newer GL Codes will be at the bottom of the drop-down menu.
- Note: Only GL Codes that have been added to the GL Code List can be chosen. Learn more about adding GL Codes here.
- Important Note: If the GL Code is selected before clicking 'Show Advanced Options', the GL Code will revert to the first GL Code in the drop-down menu, and must be selected again.
- Clickto create the Rule and return to the Manage GL Rules page, or clickto create the Rule and begin creating a new Rule.
- To close the GL Rule Detail page without creating the Rule, click
Editing an Existing GL Sales Rule
Clicking the pencil icon associated with an existing Rule will open the GL Rule Detail page, where the Rule can be edited.
If any Advanced Options have been configured for the Rule, the Advanced Options section will be automatically displayed.
When editing a Rule, all aspects of the Rule can be changed. Typically, only the GL Code and Advanced Options are adjusted.
- Note: For basic Rules, only the Rule Type 'Summation' is used. Refer to the Advanced GL Rules documentation before changing the Rule Type.
- Best Practice: If the Sale Type needs to be changed, delete the current Rule and create a new Rule for the correct Sale Type. This will avoid any Advanced Option conflicts.
Additional Advanced Options
Advanced mappings for Revenue Center, Order Mode, and Location are available for some Sale Types. Adding these additional mapping options can be very difficult to set up and maintain. These additional Advanced Options are disabled by default. To enable these additional options, please first review the Advanced GL Rules documentation, then contact R365 Support for assistance.
