The Vendor Purchase Items page allows you to view, edit, or deactivate existing vendor purchase items (VPI’s). This page also allows you to create new VPI’s. 



Searching for a Vendor Purchase Item 


  • Inventory Item - To search for a specific inventory item associated with a VPI, enter the name of the inventory item into this auto-fill field. As with any other auto-fill field, selections that match your typed information will appear as you type. 
  • Vendor - To search for a VPI that corresponds to a specific vendor, enter the name of the vendor into this auto-fill field. 
  • Manufacturer - Enter the name of a manufacturer into this auto-fill field to search for a VPI associated with a specific manufacturer. Vendor Purchase Item Enter the name of a VPI into the auto-fill field to search for a specific VPI. 
  • Inventory Item Name Contains - If you only know part of an inventory item name, you can enter it into this field to search for VPI’s associated with a specific inventory item. 
  • Receive Units - Enter the receive unit into this auto-fill field to search for VPI’s with specific receive units. Brands Enter a brand name into this auto-fill field to search for VPI’s associated with a specific brand. As with any other auto-fill field, selections that match your typed information will appear as you type. If you leave this field blank, all brands will appear in the Brands table. 
  • Vendor Purchase Item Name Contains - If you only know part of a VPI name, you can enter it into this field. UPC: To search for a VPI that corresponds to a particular Universal Product Code, enter the Universal Product Code into this field. 
  • Rows per Page - Select the number of rows to display on each page of the Vendor Purchase Items table. “25” is selected by default. 
  • Show - Select whether to show active, deactivated, or all VPI’s. “Active” is selected by default. 
  • SHOW - Select SHOW to view all VPI’s that match your search criteria.



Creating/Editing a Vendor Purchase Item


Selecting NEW VENDOR PURCHASE ITEM will open the “New Vendor Purchase Item” window where you can create a new VPI. Note: this is the same window that appears when editing a VPI. 

  • Vendor Purchase Item - Enter a desired name for the new VPI. Code Enter a code that is to be associated with the new VPI. 
  • Vendor - Enter the Vendor that will be associated with the new VPI into this auto-fill field. 
  • Inventory Item - Enter the name of the inventory item that is to be associated with the VPI into this field. If you wish to create a new inventory item to associate with the VPI, select NEW. This is the same window that appears if you navigate to the AP module ? Setup ? Items ? Inventory Items ? and select NEW INVENTORY ITEM.   • Brand - Enter the brand name of the new VPI into the auto-fill field. Select NEW to create a new brand. 
  • Brand Name - Enter the name of the new brand. 
  • Brand Code - Enter the code to associate with the new brand. 
  • SAVE/CANCEL - Select SAVE to save the new brand or select CANCEL to negate the creation of a new brand. 
  • Manufacturer - Enter the manufacturer associated with the VPI into this auto-fill field. If you wish to create a new manufacturer to associate with the VPI, select NEW. This will open the New Manufacturer window. This is the same window that appears if you navigate to the AP module ? Setup ? Manufacturers ? Manufacturers and select NEW MANUFACTURER.   • UPC - Enter a Universal Product Code for the new VPI. 
  • Receive Units - Enter the receive units that are to be associated with the new VPI into this auto-fill field. Receive units identify the manner in which an item is measured when it is received from a vendor. For example, if a particular type of salad dressing comes from a vendor by the gallon, “gallon” would be the receive unit for that item. Once you have identified the receive unit, select ADD. 
  • Select Default - It is possible to identify more than one receive unit for a VPI. If you do associate more than one receive unit for a VPI, check the box next to the receive unit you wish to be the default receive unit for the VPI. 
  • Edit Conversion - A bell icon will appear if a conversion equation is needed. Select the bell icon to create the conversion equation and add any pertinent notes. 
  • Delete - If you wish to delete a receive unit, select the red x icon. 
  • NEW - Select NEW in order to create a new receive unit to associate with the VPI. 
  • Receive Unit Name - Enter a name for the new receive unit. 
  • Container Size - Identify a container size for the receive unit. 
  • Conversion Unit - Select the unit of measure from this drop-down field. If you wish to create a Conversion Unit, select NEW. For more information about creating a new Conversion Unit, see the “Conversion Units” section. 
  • SAVE/CANCEL - Select SAVE to save the new receive unit or select CANCEL to cancel the new receive unit. For more information about receive units, see the “Receive Units” page. 
  • Include in Purchase Order - Select whether or not the VPI can be added to a purchase order or a purchase order template. Note: This option is selected by default. 
  • Add Another - If you select this option, a blank “New Vendor Purchase Item” window will open immediately after you select SAVE. 
  • SAVE/CANCEL - Select SAVE to save the new VPI or CANCEL to cancel the creation of a new VPI.



The Vendor Purchase Item Table


The Vendor Purchase Items table displays the following information for each VPI: alerts, vendor, code, the associated inventory item, receive units, UPC, brand, manufacturer, recipes, conversion, and associated invoices. Numerous actions can be performed on the Vendor Purchase Items table: 

  • Alert - A bell icon will appear in this column for any VPI’s that have alerts. If you select the bell icon, you will be navigated to the Inventory Alerts page for the corresponding VPI. 
  • Vendor - If you select an underlined vendor, you will be navigated to the Vendor List page where you will immediately be able to view information for the selected vendor. 
  • Vendor Purchase Item - If you select an underlined VPI, a new window will appear where you will be able to edit the selected VPI’s information. For more information on using this window to edit a VPI, please see the “Creating/Editing a Vendor Purchase Item” section above. 
  • Inventory Item - If you select an underlined inventory item, you will be navigated to the Inventory Items page where you will immediately be able to view information for the selected inventory item. 
  • Receive Unit - If you select an underlined number in the “Receive Unit” column, you will be navigated to Receive Units page where you will immediately be able to view information for the corresponding VPI’s receive units.
  • Brand - If you select an underlined brand name, you will be navigated to the Brands page where you will immediately be able to view information for the selected brand. 
  • Manufacturer - If you select an underlined manufacturer, you will be navigated to the Manufacturers page where you will immediately be able to view information for the selected manufacturer. 
  • Recipes - Selecting a number in the “Recipes” column will navigate you to the Recipe List by Inventory Item page. Here, you will be able to view all recipes for the corresponding item. 
  • Conversion - Selecting the conversion icon will navigate you to the Vendor Purchase Item Conversions page where you will immediately be able to view conversion information for the corresponding VPI. 
  • View Invoices - Selecting a green arrow icon in the “Invoices” column will direct you to the Invoice Details page for the corresponding VPI. Here, you will be able to view the last 10 invoices on which the VPI appeared. Edit To edit information for a VPI, select the pencil icon. 
  • Deactivate - Select the red x icon to deactivate a particular VPI. After selection, a pop-up window will appear asking for confirmation of deactivation. Select OK to confirm deactivation or CANCEL to negate the deactivation. 



Tips 


You can re-sort the Vendor Purchase Items table by clicking on any of the underlined column headers. Click once to sort in ascending order. Click again to sort in descending order.
