The Builder page allows you to build, edit, and post weekly labor schedules. Multiple labor schedules can be built each for each week, which allows you to have a separate schedule for each job, work center, or any combination thereof. This page is only available if you are utilizing the advanced version of the Labor Scheduling module. 



Adding a New Schedule 

To add a new schedule: 

  • Location: Select the location for which you would like to add a schedule. 
  • Week: Select the week for which you would like to add a schedule. 
  • NEW SCHEDULE: Select NEW SCHEDULE to build a new schedule for the selected location and week. This will open a “New Schedule” window, where you will be able to enter the following information: 
    • Name: Enter a name for the new schedule. 
    • From Template: Select a template to use to help you build the schedule. “Blank Template” is selected by default. For more information on creating a template, see the Labor Templates section. 
    • Copy Previous Schedule: Select an existing posted schedule to copy. Note: This option will not be available if you selected a specific template from the “From Template” drop-down field. 
  • CREATE/CANCEL: Select CREATE to create a new schedule or CANCEL to cancel the new schedule and return to the main Builder page. Daily Summary When available, data will be displayed at the top of each day (above the ADD SHIFT button). The information displayed in these summaries can be selected on the Labor Scheduling Settings page. The following information may be displayed: previous year's sales, 4-week average sales, any forecasted metric currently being used, "Events" from the Manager Log, and "Staffing" notes from the Manager Log.

Schedule Details 

Directly above the Daily Summary is the “Schedule Details” section. Here, you can view the schedule’s name, when it was last modified, and if the schedule has been posted. 

  • Edit: To edit the name of the schedule, select the pencil icon and enter the new name into the corresponding field. 
  • SAVE / CANCEL: Select SAVE to save the changed schedule name or CANCEL to negate the change. 
  • POST: Select POST to post the schedule. Once posted, the schedule can be viewed on the View Schedules page. If you have edited the schedule after you have posted, you will receive the message “Schedule has changed since it was posted!” To save the changes made, you must repost. Posted: If the schedule has been posted, you can select the underlined link to be automatically navigated to the View Schedules page to view the corresponding schedule. 
  • DELETE: In order to delete the schedule, select DELETE. Upon selection, a pop-out window will display confirmation of deactivation. Select OK to confirm or CANCEL to negate the deactivation of the schedule. 
  • REVIEW: Select REVIEW to be navigated to a more basic, text-based version of the current schedule. This page breaks the schedule down into rows for each employee, in a manner similar to the Weekly Labor Schedule Detail report. This page more clearly displays alerts, however - most will be colored red, but Want to Work requests made through the Schedules app will be green. 
  • Refresh: Select REFRESH to update the Review page with the most recent information. 
  • Show: Arrange the Review page to show Just this Schedule, All shifts for employees on this schedule, or All schedules at this location.



Unscheduled / Time Off / Want to Work Employees 

To the right of the "Schedule Details" window is a small menu that allows you to display a list of unscheduled employees, as well as employees with confirmed Time Off, or with active Want to Work requests. This acts as a useful quick reference for employees that most likely cannot work, as well as those that may wish to be scheduled. 


Unscheduled Employees: This option is selected in the top-most drop-down menu by default. Select the arrow to choose between this option, Time Off Employees, and Want to Work Employees.

  • SELECT JOB: Filter by job type to see employees for a specific job type. 
  • DOB: Use the right-most drop-down to filter DOB. 
  • Assign Shifts: You can quickly assign shifts to an unscheduled employee by selecting the employee’s name. Upon selection, the “Bulk Assign” section will appear, and the employee’s name will automatically populate the ‘Employee’ field.



The Weekly Schedule 


The weekly schedule displays all the shifts scheduled for each day of the week. The employee name, job type, and scheduled time displays for each shift. 


The color bands displayed for each shift on this page match the coding on the Jobs page of the Company Configuration module. Additionally, the entire cell can be shaded one of the following colors: 

  • Pink: If a shift is pink, the shift has no assigned employee. 
  • Yellow: If a shift is yellow, the shift is in the process of being edited. 
  • White: If a shift is white, the shift has an assigned employee. Note: If an employee’s name and job is in red, the employee is working a long shift. 
  • View by: By checking the circular boxes underneath the schedule details window, the table can be configured to display by Day of Week, or by Employee. Additionally, the 'View by Daypart' drop-down can be used to have the table display only a specific daypart. Dayparts are configured in the Company Configuration module.



Adding/Editing a Shift 

To add a new shift for a particular day of the week, select the ADD SHIFT button under the column for the desired day. To edit a shift, select the pencil icon at the top right corner of the shift you wish to edit. Upon selection a “Shift Details” window will appear where you will be able to enter/edit the following information: 

  • Job: Select the job type for which you would like to create or edit a shift. 
  • Type: Filter the employees’ displayed in the ‘Employee’ field by selecting one of the following: 
    • Job & Location: By selecting “Job & Location Job & Location”, you will only able to select employees that have been assigned to the selected job and location. 
    • Location: By selecting “Location”, you will be able to select any employee working at the selected location. 
    • All: By selecting “All”, you will be able to add any active employee, regardless of location or job, to the shift. Alternatively, leave the employee field empty to create an unassigned house shift. House shifts are automatically displayed on the 'Available Shifts' page of the Ctuit Schedules mobile app. 
    • New: By selecting “New”, you will be able to add an employee that has not been entered in your POS system. Employee: If you selected “Location” or “All” from the ‘Type’ drop-down, enter the employee’s name into the ‘Employee’ auto-fill filed. As with any other auto-fill filed, selections that match your typed information will appear as you type. If you selected “Job & Location” from the ‘Type’ drop-down, select the employee from the ‘Employee’ drop-down field. If you selected “New” from the ‘Type’ drop-down, enter the employee’s name into the ‘Employee’ text field. 
  • Start Time/End Time: Enter the start time and end time for the shift. Notes: Enter or edit any notes for the shift. Additionally, you may select a quick note from the drop-down filed to the right of the ‘Notes’ field which will auto-populate a pre-set note. For more information about quick notes, see the Quick Notes page. 
  • SAVE/CANCEL: Select SAVE to save the shift. Select CANCEL to cancel the creation of a new shift or edits made to an existing shift. 
  • Delete: To delete a single shift, select the red x icon at the top right corner of the box of the shift you wish to delete. A confirmation window will appear that will allow you to confirm or cancel the deletion.



Quick Pick Shifts 

Another route of assigning an employee to a shift is the “Quick Pick” option. This option is useful when creating a schedule from a template. To quickly assign an employee to an unscheduled shift, select the blue employee icon. Upon selection, the “Quick Pick” window will be displayed. 

This window displays a list of all employees that have worked the corresponding job at the selected location within the last 90 days. Additionally, it displays the employee’s availability status, whether or not there is a schedule conflict, the number of hours worked that day, and the number of hours they have worked that week. Simply select the desired employee to assign to the unscheduled shift. 

  • SHOW MORE: Selecting SHOW MORE will display all employees, even those who are unavailable, or who have schedule conflicts (marked with a no entry icon). 
  • Heart: If an employee has a Want to Work request on the relevant day, their associated 'Available?' cell will contain a red heart. 
  • CLOSE: To close the “Quick Pick” window, select CANCEL. Alternatively, you may select the grey x icon in the upper right corner.



Schedule Summary Tables 

The Schedule Summary table displays the following four sections: 

  • Employee Summary: The Employee Summary table displays the total number of shifts per employee as well as their pay rate and projected wages. If an employees’ pay rate is unavailable, the average rate of other employees who have recently worked that job will be automatically entered into this column. Note: If an employee has scheduled overtime, their projected wages will not display their special pay. 
  • Job Summary: The Job Summary table displays the total number of shift per job type as well as an estimated pay rate, projected wage, and projected labor percent as well as SPLH (sales per labor hour) per work center. By default, the projected labor percent is calculated using your labor forecasts. If you would like to use Budget Amounts for calculation, see the Labor Scheduling Settings page. 
  • DOB Summary: The DOB Summary table displays the total number of employee shifts scheduled per hour; projected wages, sales, and labor percent; sales per hour; and the estimated pay rate. Note: By default, jobs that have their pay type set to “Exclude” are not calculated for the summary. To change this behavior, see the Labor Scheduling Settings page. 
  • Alert Summary: The Alert Summary warns you of any possible scheduling issues such as unassigned shifts, overtime, and availability conflicts. To customize the settings for the Alert Summary, see the Labor Scheduling Settings page.



Copy Shifts 

To copy one or more shifts from one day to another, select COPY SHIFTS. A “Copy Shifts” window will appear where you can enter the following information: From Date: Select the day from which you would like to copy. 

  • Shifts: Select a specific shift to copy or select “All Shifts”. To Date(s): Select the day(s) for which the copied shift(s) will be duplicated. Note: If “All Shifts” is selected from the ‘Shifts’ drop-down field and you select a date that already has existing shifts, the existing shifts will be deleted and replaced by the copied shifts. 
  • COPY/CANCEL: Select COPY to copy the shifts or CANCEL to close the “Copy Shifts” window without copying any shifts. Bulk Assign You can quickly add an employee to multiple shifts by selecting BULK ASSIGN. Upon selection, a “Bulk Assign” window will appear where you will be able to enter the following information: 
    • Type: Filter the employees’ displayed in the ‘Employee’ field by selecting one of the following: 
      • Job & Location: By selecting “Job & Location”, you will only able to select employees that have been assigned to the selected job and location. 
      • Location: By selecting “Location”, you will be able to select any employee working at the selected location. 
      • All: By selecting “All”, you will be able to add any active employee, regardless of location or job, to the shift. 
      • New: By selecting “New”, you will be able to add an employee that has not been entered in your POS system. 
    • Job Filter: If you selected the “Job & Location” type, you must select a job type from this drop-down list. Employee: Enter the employee’s name into this field. This field will be a drop-down list, auto-fill field, or a standard text field depending on which ‘Type’ you selected. Select the check box at the top left corner of each shift in the weekly schedule to which you would like to assign the employee. 
    • ASSIGN/CANCEL: Select ASSIGN to assign the employee to the selected shift(s) or CANCEL to close the “Bulk Assign” window without assigning an employee to any shifts.
