The Inventory Settings page allows you to configure Inventory module settings. Only users with the proper permissions have access to the Inventory Settings. The following settings can be configured by selecting EDIT at the top left corner of the Inventory Settings page.



Inventory Settings


  • Default Inventory Item - When a new VPI is created, the selection in this field will automatically populate the ‘Inventory Item’ field on the “New Vendor Purchase Item window.  “UNASSIGNED” is selected by default. 
  • Unassigned Inventory Item - When an inventory item is deleted, any VIP’s that correspond to the inventory item will automatically be assigned to the inventory item you select in this field.  (Note that this functionality is also tied to the option you select in the ‘On Inventory Item Delete’ field). 
  • On Inventory Item Delete - When an inventory item is deleted, this option determines whether VPI’s that correspond to that inventory time will be deactivated or if they will be assigned to the inventory item selected in the ‘Unassigned Inventory Item’ field. 
  • VPI Conversion Alert ignores 'Excluded From Inventory' Items - If this setting is set to “Yes”, all inventory items that have been tagged as “Exclude From Inventory” will not receive a VPI Conversion Alert. 
  • Use Quick Item Cost - Select whether or not to use the quick item cost feature which allows you to manually assign costs to inventory items. 
  • Force Inventory Taking Unit Change Log - If this option is set to “Yes”, users will be forced to enter a note explaining why they edited a taking unit any time a taking unit is edited. 
  • Price Matrix Header - Select the way in which your locations are labeled on the Price Matrix page by selecting one of the following: 
    • Location 
    • Location Export ID 
    • Location Short Name 
    • Location Name 
  • Default Number of Rows per Page - Select the default number of rows per page for every table throughout the Inventory module. 
  • Price Calculation Priority - Select whether AP or Quick Costs are given price calculation priority.  By default AP is selected. Note: If the ‘Use Quick Item Cost’ setting is set to “No”, this setting will not appear on the page and the price calculation will default to AP. 
  • Price Calc Scheme -This setting will determine the price calculation for all items upon initial upload.  After the initial upload, this setting will determine the price calculation scheme that shows up when adding new inventory items to the system. The following selections are available: 
    • Use Average of 3 Latest Prices 
    • Use Latest Prices 
    • Weighted Average of 3 Latest Prices 
    • Weighted Average Last 4 Elapsed Weeks 
  • Filter Taking Units on Base Unit - If this option is set to “Yes”, you will only be able to select a taking unit that corresponds to the selected base unit when you create a new inventory item.
  • Force Conversion Unit Change Log - If this option is set to “Yes”, users will be forced to enter a note explaining why they edited a conversion unit any time a conversion unit is edited.



Inventory Session Settings


  • Inventory Session Number Type -This setting allows you to customize the naming convention of your inventory session numbers. The following formats are available: 
    • Use InventorySessionID 
    • 5 Digit MAS90 (LocationIDPeroidIDIncrement) 
    • LocationID_PeriodName_Increment 
    • LocationID_YYYYPxxWx_Increment 
  • Restrict Inventory Date to End of Period - This setting will force the inventory date to the last day of the period.  This date restriction applies to both creating a new inventory session and to editing an inventory session on the Inventory Session Details page. 
  • Allow Entering Negative Inventory Values - If this setting is set to “Yes”, users will be allowed to enter negative numbers on the Inventory Session Details page.  If this setting is set to “No”, a warning will appear when a negative number is entered. 
  • Show Pre-Post - If this setting is set to “Yes”, you will be able to view your actual posted inventory amounts prior to the actual posting of your inventory.  The Theoretical vs. Actual Cost by GL report, Ideal vs. Actual by GL Code report, COGS Rolling report, COGS Summary Comparison report, and the General Ledger report will all be impacted by this setting. 
  • Changing Corporate Inventory Counts Requires Special Privilege - If this option is set to “Yes”, a user must have the “Change Corporate Inventory Item Counts” user permission in order to enter quantity information for inventory items that are marked as corporate inventory. 
  • Inventory Certification Sheet Text - Entering text into this field will enable this setting.  This text will appear above the table on the Inventory Certification Sheet report. 
  • Inventory Session Post Message Text - Entering text into this field will enable this setting.  This text will appear in the “Inventory Posting Certification” pop-out window. This setting forces a user to enter his or her name before posting an inventory session. 
  • Ignore Conversion Alerts of II or VPI Mapped to GL Codes - Conversion alerts that occur for any inventory items or VPI’s that are associated with the GL Codes that you select here will be ignored. 
  • Show Area Directors Grouping on Posting Compliance Report - If a location group has been tagged as “AD Group” on the Location Group page in the Company Configuration module, this setting will group the locations by Area Director on the Posting Compliance Report. 
  • Inventory Session Lockout - This setting allows you to set up the time frame in which users can post inventory sessions or enter new invoices. 
  • Inventory Session Lockout Period Type (Past)/(Future) -These settings locks users into only being able to post or enter new invoices during the following time ranges: 
    • None 
    • Week 
    • Period 
    • Quarter 
    • Pay Period 
  • Grace Period from the Lockout Period (Past)/(Future) - These settings work in conjunction with the Inventory Session Lockout Period Type setting as they allow additional days to be added to the lockout period. 
  • Allow Inventory Sessions with Uninventoried Items to be Posted - Select this option if you would like to be able to post inventory sessions that have inventory items with zero quantity. 
  • Break Down Prep Recipes Into Basic Ingredients When Posting Inventory Session - If this setting is selected, recipes will be broken down to the inventory item level when inventory sessions are posted. 
  • Show Par - If this setting is selected, the Par values will be displayed on the Inventory Session Details page and on the Storage Locations page. 
  • Show GL Posted Amounts on Inventory Certification Sheet - If this setting is selected, the Inventory Certification sheet report will display posted prices instead of live prices. 
  • Storage Location Screen Light Version - If this setting is selected, all users will see a simple version of the Storage Location page, which will help the page load faster.  If you would rather have the simple version of the Storage Location page display on a user-by-user basis, you can assign the “Use Storage Location Lite Page” permission to specific users.



Transfers


  • Transfers Enabled - This setting enables inventory item transfers.  If this setting is not selected, all pages under the ‘Transfers’ table will be unavailable, and users will not be able to initiate an inventory item transfer. 
  • Expire Days - This setting works in conjunction with the Expire Period Type setting as it allows additional days to be added to the expire period. 
  • Expire Transfer Status -Select the status to which expired transfers will be assigned.  Select one of the following options: 
    • Active 
    • Accepted 
    • Rejected 
    • Deactivated 
  • Send Email On Incoming Transfer - Select this setting if you would like an email to be sent when an incoming transfer is created.  The email will be sent to the email address that has been set up for the corresponding location on the Locations page of the Company Configuration module. 
  • Transfer Date Lockout -  This setting allows you to set up the time frame for which the ability to edit, accept, or reject an inventory transfer will be locked. 
  • Transfer Lockout Period Type (Past)/(Future) -These settings locks users into only being able to edit/accept/reject inventory transfers during the following time ranges: 
    • None 
    • Week 
    • Period 
    • Quarter 
    • Pay Period 
  • Grace Period from the Lockout Period (Past)/(Future) - These settings work in conjunction with the Transfer Date Lockout Period Type setting.  They allow additional days to be added to the lockout period. 
  • Commissary - If this setting is enabled, inventory transfers will be treated as a center for revenue.  This allows a “source” location to add a surcharge to a transfer in order to receive compensation for the transfer. 
  • Surcharge % - Enter a surcharge percentage. 
  • Surcharge Revenue GL Code - Select the GL Code to which surcharge revenue should be applied. 
  • Expire Period Type -This setting determines when an inventory transfer is classified as expired. Options include: 
    • Week 
    • Month 
    • Quarter 
    • Year 
    • Pay Period 
  • Expire Time - Enter the time in which a transfer will become expired. 
  • Limit To Region - If this setting is selected, users will only be able to transfer items or GL Code amounts to the location or location group selected in the “Transfer destination Location Group” drop-down field on the User Manager page. 
  • Cannot Override Transfer Detail Amount - If this setting is selected, users will not be able to override the value in the “Amount” text field on the Edit Inventory Transfer page.
